RECORDING AND PRODUCTION TERMS

These terms apply to all recording, filming, editing and production services provided by Q Studio Limited (Studio Q), registered in England and Wales under company number 14556346.

By confirming a booking, paying a deposit, or accepting a quotation or invoice issued by Studio Q, the client agrees to be bound by these terms.

1. Booking and Deposits

A session is considered confirmed only once a deposit has been paid and the booking has been acknowledged by Studio Q.

Studio Q reserves the right to release any provisional booking if the deposit has not been received within the agreed timeframe.

Deposits are non-refundable, except in the event that Studio Q cancels the session.

All cancellations, rescheduling conditions and refund policies are governed by the Studio Q Cancellation Policy, available at:

By confirming a booking, the client agrees to the terms set out in that policy.

2. Session Duration

The booking time includes:

  • setup

  • sound checks

  • rehearsal if required

  • recording

  • pack down

Clients are responsible for managing their time within the booked session.

If the session exceeds the booked time and the studio schedule permits, additional time may be billed at a pre-agreed hourly rate.

3. Editing and Post-Production

Editing services include only the services specified in the quotation or invoice.

Each project includes up to two revision rounds following delivery of the first edited version. Revisions typically include small musical edits, balance adjustments or minor visual adjustments.

Additional revisions, alternative edits or substantial structural changes may incur additional fees.

Studio Q will make reasonable efforts to deliver recordings that meet professional technical standards. Final decisions regarding editing, mixing, mastering and colour grading remain at the discretion of Studio Q unless otherwise agreed.

4. Delivery of Materials

Final materials will be delivered digitally via download link or another agreed delivery method.

Studio Q may retain backup copies for a limited period but does not guarantee long-term archival storage.

Clients are responsible for downloading and backing up all delivered materials.

5. Copyright and Licence

Q Studio Limited is the producer of the sound and video recordings created during the session and retains copyright in those recordings.

Upon full payment of all agreed fees, the client is granted a perpetual, non-exclusive licence to use the delivered recordings for professional, promotional, educational, competition and distribution purposes.

This licence includes the right to publish the recordings on websites, streaming platforms and social media channels, provided the recordings are not altered or modified without the prior written consent of Studio Q.

Nothing in these terms transfers ownership of the copyright in the recordings to the client.

Performers retain their performers’ rights in accordance with the Copyright, Designs and Patents Act 1988.

6. Integrity of Delivered Materials

All audio and video materials delivered by Studio Q are final mastered works representing the artistic and technical standards of the studio.

Clients and third parties must not alter, re-edit, crop, recolour, apply filters, modify audio processing or otherwise modify the delivered materials without prior written consent from Studio Q.

If adjustments are required, they must be requested directly from Studio Q and may be subject to additional fees.

Studio Q reserves the right to request the removal of altered versions of the materials that misrepresent the original work.

7. Quality Control

Clients must not distribute versions of the materials that are materially degraded through excessive compression, improper re-encoding, low-resolution export or altered aspect ratios that significantly reduce the visual or audio quality of the work.

Where recordings are uploaded to third-party platforms such as social media or streaming services, clients agree to use the highest available quality settings.

Studio Q reserves the right to request removal of any version of the materials that materially damages the technical quality or reputation of the work.

8. Right of Refusal

Studio Q reserves the right to refuse association with, or request removal of, any publication, distribution or use of the recordings that reasonably harms the professional reputation of Studio Q or misrepresents the quality or nature of the work produced.

9. Raw Files and Project Materials

Unless explicitly agreed in writing, Studio Q is not required to provide:

  • raw camera footage

  • multitrack audio recordings

  • project files

  • editing sessions or working files

Only the final delivered masters and agreed deliverables form part of the service.

10. Credit

Where reasonably possible (for example on YouTube, social media posts or competition submissions), clients agree to credit the production as:

11. Portfolio and Promotional Use

Studio Q retains the right to use excerpts of recordings, video, photographs or still frames from the session for:

  • portfolio

  • website

  • social media

  • promotional purposes

If a project requires confidentiality (for example competition submissions prior to results), the client must notify Studio Q in advance.

12. Payment Terms

All outstanding payments must be made within five (5) working days of the release of the final deliverables.

Studio Q reserves the right to withhold delivery of final materials until all invoices relating to the project have been paid in full.

13. Force Majeure

Studio Q shall not be liable for any delay or failure to perform its obligations where such delay or failure results from events beyond its reasonable control. These may include, but are not limited to, power outages, equipment failure beyond reasonable control, venue closure, illness, accident, extreme weather, government restrictions, or other unforeseen circumstances.

In such cases Studio Q will make reasonable efforts to reschedule the session or provide an alternative solution where possible.

14. Liability

Studio Q will take reasonable care in recording and handling client materials. However, liability for loss or damage arising from technical failure, equipment malfunction or other unforeseen circumstances is limited to the total amount paid for the session.

Studio Q shall not be liable for indirect or consequential losses including loss of opportunity, competition outcomes or reputational damage.

15. Entire Agreement

These terms constitute the entire agreement between the client and Q Studio Limited in relation to the services provided and supersede any prior discussions, correspondence or agreements relating to the same services.

16. Governing Law

These terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
